PART 06 · IN THE CONTRACT

One price per tier. Two promises in the contract.

Before the numbers, the two things worth reading twice: what happens when the record is tested, and what happens if you leave. Neither is a marketing line. Both are written into the contract you sign.

Guarantee · In the contract

The Answerable Guarantee

If a Subject Access Request touches your channels and you can't produce the record from them within one working day, our team works it with you, free – your hands on the records, ours on the method. If it still can't be produced, we refund your full year – every penny of your current year's fee. The product has one job; this is us betting on it.

Exit · In the contract

The no-hostage clause

Leave whenever you like. The record was always yours, in your own Microsoft 365 – there is nothing to hand back and barely anything to delete. We confirm in writing that the little we hold is gone, and there are no fees to leave. If we're not earning the renewal, we shouldn't have it.

We're a young company with a strong opinion and a working product, and we won't show you logos we don't have. I'm Terry Sullivan, I built this, and I read everything sent to enquiries@chat.org.uk myself. If you'd rather take our measure before booking anything, write to me directly.

PART 07 · THE NUMBERS
Pricing

Pricing built for UK trustee and council boards. No hidden charges.

No sales call needed to see the price; every number below is the number you pay, before VAT. No platform fees, no charge per person, no setup hidden in the small print. One flat price per tier, sized by the channels you run – no charge per message from us, no creeping charge per person, and adding the people you serve never increases your bill. Each tier covers all the places your people talk: your own ComplyChat channels – live now, including a channel people reach from the web, verified by text – and Microsoft Teams. Paying yearly saves around two months on Foundation and Governance, and setup is on us with a yearly plan.

The fair bit
One price per tier – the same however many people you have. Add every volunteer, family member and resident you serve to your channels at no extra cost, ever.
No charge per message from us. No creeping charge per person. The price is the tier – not the number of people.

Talk to us
The safety net Every tier carries both promises in the contract: the Answerable Guarantee – the record from your channels produced within a working day, or we work it with you free and refund your full year's fee if we still can't – and the no-hostage clause. The risk of trying this sits with us.
Setup Included on every yearly plan – no separate fee. On monthly plans, setup is £500. We connect Microsoft Teams to your own Microsoft 365, set up your published number and SMS doorbell, and open your first channels. Done with you.
The trustee pack Included on every tier, from day one: a data protection impact assessment template, privacy notices for your staff and for the families you serve, the on-the-record wording we supply for every channel, and a one-page briefing written for boards. Templates to adapt with your own DPO, not legal advice.
How you pay We invoice you and you pay by bank transfer. Yearly plans are invoiced once, in advance, for the year; monthly plans are invoiced each month. If your finance team works to purchase orders, raise one and send us the number – or the PO form itself – and we'll quote it on your invoice. Fees are exclusive of VAT, added at the prevailing rate where applicable. Card payment isn't switched on yet; until it is, every account is invoiced. Ask us anything about billing at enquiries@chat.org.uk.
If you need more Searching and exporting your own record is never charged by the use. Answering a Subject Access Request from your own Microsoft 365 is the product doing its job – Purview search, export and disclosure, run by your own people – and it costs nothing extra, however many requests land. If you'd like our team alongside for one – on a call, helping plan the searches your own people run – that's £450 a request, still around a tenth of what one request costs UK organisations on average. Channels work the same honest way: your tier says how many you run – a channel per site, service or team – and if you grow past it, the next tier is a conversation with us, never a surprise on an invoice. A dedicated deployment, where even the working copy sits in your own Azure, is £200 a month on Governance and included with Enterprise. Sign-in codes, doorbell texts and reminders are never metered, however many go out. The permanent record you answer from rests in your own Microsoft 365, never ours – we hold only a working copy to keep the channel running, and you choose how long that lasts. The Answerable Guarantee applies to every request either way. Extra training, if you want it, is £500 per half-day.
The honest comparison Processing a single Subject Access Request costs UK organisations around £4,500 on average; a contested one handled by lawyers, around £23,000 – more than three years of Governance (Sapio Research; GRC World Forums). Weigh this against one bad month, not against zero.
The demo · from your own phone

Know where you stand before someone asks.

Thirty minutes with our team, and you do the driving. In the first few minutes you'll be messaging in a real channel from your own phone. Before we hang up, a magic link lands in your inbox and signs you into the client portal, where the messages you just sent are already on the record. Bring your hardest case – the channel nobody admits to, the leaver with two years of messages – and get a straight answer on whether we are right for you. Even if that answer is no.

The briefing: one page on the risks in your work messaging, written for boards. No follow-up unless you ask for one.
