Free consumer terms

These terms apply to personal use of ComplyChat Free. Organisational subscriptions and invited evaluations have separate terms.

Who provides Free

ComplyChat is provided by CIaaS Limited, registered in England and Wales, company number 14519311, at C/O Aardvark Accounting, 1 Cedar Office Park, Cobham Road, Wimborne, BH21 7SB. Contact enquiries@chat.org.uk.

You must be 18 or over and have a UK mobile number. You accept this version of the terms when you create or join a Free workspace. Free is for personal use and evaluating the app, rather than your organisation’s statutory, safeguarding or other lasting record.

What you receive

Free costs £0 and has no automatic conversion to a paid subscription. It includes one private group, direct messages and up to 25 staff members. The owner controls invitations; an ordinary member does not gain invitation or administrative powers. Invitations are tied to the intended recipient’s verified mobile number. Guests, published telephone numbers, Microsoft Teams, Microsoft 365 archiving and Replay belong to organisational plans.

History and recordings

Messages and their attachments expire after three calendar months. At month end, the expiry date uses the last valid day of the destination month. Upgrading cannot recover expired content. Free is not a backup service or a permanent record.

Voice and video calls are recorded for transcription and AI summaries, with notice before the call and a recording indicator during it. Call captures and internal transcript files are removed from active storage after processing, or after 24 hours if processing cannot complete. Voice notes are not transcribed and follow normal history retention. Recovery copies expire under the storage backup and recovery policy. AI summaries can contain mistakes; check important details with the people involved.

Your account and other people

Keep your sign-in methods and owner recovery key secure. Only invite people who expect your invitation. Do not share unlawful content, threaten or harass people, impersonate someone, send spam or attempt to bypass another person’s access controls. Do not use Free for emergencies or upload information that you have no right to share.

You retain your rights in your content. You permit us to process and deliver it only as needed to provide, secure and support the service, as explained in the Free privacy notice. Other participants can retain their own copies of anything you send them.

Leaving, changes and support

You can leave a conversation through its menu and request account deletion through Settings or compliance@chat.org.uk. An owner can close the workspace from Workspace settings; end any current calls first. We may restrict access where reasonably necessary to protect people, prevent abuse or meet the law; where possible we will explain the reason and give you a way to challenge a mistake.

We will give reasonable advance notice of material changes or planned closure of Free, unless an urgent legal or security issue prevents it. We will not charge you without your express agreement. Contact enquiries@chat.org.uk for help or complaints.

Your consumer rights

The paid Answerable Guarantee and paid service commitments do not apply to Free. Nothing in these terms excludes liability that cannot lawfully be excluded or takes away your statutory consumer rights. We are responsible for reasonably foreseeable loss caused by our breach or failure to use reasonable care and skill, subject to applicable law.

English law applies, while mandatory protections and the right to bring proceedings in your local courts remain available where the law gives them to you.
